Administrative Assistant II
Salary: $14.33 - $16.85 The University of St. Thomas seeks an Administrative Assistant II to support the recently established Center for Intercultural Learning and Community Engagement (CILCE). CILCE includes the Tutor Mentor and Reading Buddies Programs and the Office of Service Learning. As CILCE is a new initiative, enthusiasm and responsibility for building our programs are important. The ideal candidate will also demonstrate commitment to local community outreach, and to intercultural, and social justice issues. The Administrative Assistant is responsible for managing and coordinating the day-to-day activities of the Center for Intercultural Learning and Engagement, Tutor Mentor and Reading Buddies Program, and the Office of Service Learning. This position acts as first point of contact including screening incoming calls and responding to people who walk into the center with questions by providing outstanding customer service to all inquiries. This position coordinates meetings and logistics by making room reservations, ensuring computer and technology devices are set up, ordering food, preparing materials to be used at events and assisting with registrations. Major responsibilities include maintaining Outlook calendars for director and program managers; planning and scheduling meetings and events; preparing general departmental correspondences including letters, emails, reports, etc.; creating PowerPoint presentations, flyers, brochures and other materials as required; handling budgets for CILCE, Tutor Mentor and Service Learning; assisting with campus visits of student groups as appropriate. Two years of office experience required preferably supporting more than one individual. The Administrative Assistant will have strong people skills and the ability to work and establish good relationships with people of diverse backgrounds. We are looking for candidates with exceptional organizational, administrative and communication skills; strong oral and written communication skills; customer service and problem-solving skills; detail oriented; proficiency in Microsoft Office; ability to work independently and manage multiple projects simultaneously with frequent interruptions. A willingness to help develop and maintain CILCE websites a plus.
